TERMS & POLICIES
Plain-spoken policies so you know what to expect, from the first consult onward.
A quick note
These are the terms and policies for working with The Speech Tree LLC. We've kept them clear and straightforward, because we'd rather you know what to expect than be surprised later. If anything is unclear, just ask.
Scheduling
New clients start with a free 15-minute consult. If we move forward, we'll schedule an evaluation, then a recurring therapy schedule built around your child's goals.
We do our best to hold consistent weekly or biweekly slots. Specific scheduling will be confirmed when you book.
Cancellations and rescheduling
We ask for at least [24 hours] of notice when you need to cancel or reschedule a session.

Cancellations with less than [24 hours] of notice may be billed at the full session fee.

No-shows are billed at the full session fee.
We understand kids get sick and life happens. If a last-minute cancellation is unavoidable due to illness or emergency, please reach out as soon as you can and we'll do our best to work with you.
Payment
Payment is due [at the time of service]. We accept [payment methods to confirm: check, credit card, Venmo, Zelle, etc.].
Current session rates:

30-minute session: $75

45-minute session: $100

60-minute session: $125
Evaluations are priced separately based on scope. We'll provide a written estimate before scheduling one.
Insurance and Superbills
We do not bill insurance directly. We provide detailed Superbills you can submit to your insurance company for possible reimbursement under your out-of-network benefits.
Reimbursement is not guaranteed. Before starting services, we recommend calling your insurance company and asking about out-of-network speech and language therapy coverage.
Late payments
Invoices not paid within [14 days] of the due date may pause services until your account is current. We'll always reach out before pausing anything.
Illness and weather
If your child is sick, please cancel and reschedule. We'd rather miss a session than pass illness between families.
If we're unable to hold an in-person session due to weather, illness on our end, or other circumstances, we'll reschedule or offer a virtual session when it's appropriate for your child's goals.
Communication
We respond to emails and calls during business hours, typically within one business day. For non-urgent questions about your child's progress, email is usually the easiest way to reach us.
Please note: this is not a crisis service. If you or your child is experiencing a mental health emergency, call or text 988 (Suicide and Crisis Lifeline) or go to your nearest emergency room. In any life-threatening emergency, call 911.
Confidentiality
The Speech Tree complies with HIPAA. Your child's records and the contents of our sessions are confidential. We will not share information with schools, other providers, or family members without your written consent, with the following limited exceptions:

When required by law, including mandated reporting of suspected child abuse or neglect

When there is risk of harm to your child or someone else

For billing purposes (when you submit a Superbill, your insurance will receive limited information)
Records
We maintain therapy records securely, in accordance with state and federal law. You may request a copy of your child's records at any time by emailing us. We retain records for [the period required by Connecticut state law] from the last date of service.
Photography and recording
We sometimes use photos of therapy materials or short clips of activities for clinical documentation or to share examples of our work. We will never use an identifiable image of your child without your explicit written consent.
You're welcome to record portions of your child's sessions for home practice. Just let us know.
Mandated reporting
As a licensed clinician in the state of Connecticut, Jennifer is a mandated reporter. If we have reasonable cause to suspect that a child has been abused or neglected, we are legally required to report it to the appropriate authorities.
Ending services
Either you or we can end services at any time. We ask for at least two weeks of notice when possible, so we can wrap up appropriately and offer referrals or transition support if it would help.
We may also recommend ending services if your child is no longer making meaningful progress here or would benefit from a different type of provider. If that happens, we'll always provide referrals.
Updates to these policies
We may update these terms and policies from time to time. The most current version will always be posted here, and we'll let current families know about any significant changes.
